Oakley Holidays is constituted as a limited company and a registered charity.

The Trustees meet together annually and approved minutes of our Annual General Meeting are maintained by the Company Secretary.

Financial statements are prepared and agreed in accordance with our statutory obligations and necessary information is filed with Companies House and the Charity Commission, in accordance with our legal and charitable status.

The organisation is run on a not-for-profit basis. Trustees and Company Directors receive no remuneration for their time and work.

Welfare of participants

We conduct a risk-assessment of our activities, with leaders trained in basic first-aid, and qualified life-guard supervision provided for use of the swimming pool.

All participants submit a confidential medical form prior to attending the holiday, so leaders are aware of and can respond to special health needs.

All leaders are provided with specific written guidance annually regarding their responsibilities in relation to other participants, including instruction and guidelines for health and safety and the welfare of minors. Guidance is regularly reviewed by the Trustees, and additional leadership guidance is provided at our Annual Conference.

All leaders (including trustees) are required to provide at least one character reference from a referee independent of the organisation.

For the purposes of child protection, photographs that are used by Oakley Holidays in its publications, including this website, are used to illustrate the holidays' activities rather than depict specific attendees. No individuals are identified without their permission (and other consent, where required).

Data protection and information

For the purposes of the Data Protection Act, 1998, our organisation operates on a 'not for profit' basis. The personal data that is collected and processed is done solely for the purpose of establishing or maintaining membership or operation of and support for our organisation. Disclosure of data without consent is only undertaken for this purpose. Personal data are not kept after the relationship between the data subject and the organisation ends, unless and only for as long as it is necessary to do so for statutory purposes. Accordingly, our organisation (as the data controller) is exempt from notification under the Data Protection Act, 1998. Personal data is processed by our organisation in accordance with this legislation as laid out in our Information Policy.
